Dietary requirements
For participants with special dietary requirements arrangements can be made for catering at Polman’s Huis / Ottone and also for the dinners. Please indicate your requirements at the appropriate entry when registering online for the conference.
Electricity
The voltage in the Netherlands is 220-240V.
Language
The official language of the conference is English. No translation arrangements will be made.
Letter of invitation
The Conference Secretariat will send you a letter of invitation upon request, which you can send in by completing the corresponding section on the registration form. Letters of invitations will only be issued upon receipt of a complete registration including payment. It should be understood that this letter is only to help participants to raise travel funds or to obtain a visa and is not a commitment on the part of the organizers to provide any financial support. Applications for a letter of invitation should be received by the Conference Secretariat (MCI Amsterdam Office) before July 1, 2009. Applications for letters of invitation received from July 1 cannot be processed. When visa applications are not granted, the cancellation and refund policy as mentioned in this brochure is applicable, so we advise you to start the visa application process as early as possible.
Smoking
In the meeting venues, public areas, restaurants and bars smoking is prohibited by law.
Time
During the Meeting Utrecht is 1 hour ahead of Greenwich Mean Time (GMT +1).
Transport
Utrecht is a very compact city where your destination will usually not be at a great distance. The city is therefore ideal for getting around by foot, bicycle or public transport. Utrecht has a very dense public transport system bus stops are usually around the corner. Cars are less suited for getting around in Utrecht. Parking rates are substantial in almost the entire city.
To pay for buses, trams and metro in the Netherlands you need a ‘strippenkaart’. Each strip represents a zone, and each city and region is divided into travelzones. Every time you travel, you will use up one basic strip + the number of zones you are travelling in. So each ride amounts to a number of strips ('strippen') depending on the distance.
Although you can buy a single ticket (2 or 3 “strippen”) on the bus, it is much cheaper to buy a blue "strippenkaart" at e.g. the railway station, post offices, supermarkets or Schiphol Airport.
Taxis
Taxis can be ordered at the registration desk.
Travel and VISA
Entry to the country is usually granted to all foreigners taking part in conferences organized in the Netherlands, regardless of their nationality.
Participants must, of course, meet the normal requirements, i.e. they must possess valid travel documents and sufficient means of support.
Participants requiring a visa for entry to the Netherlands are strongly advised to make their application in their home countries at least three months before the intended date of travel.
Weather
The Netherlands climate is quite temperate, with mild summers and cold winters. Rain is spread fairly evenly throughout the year. Raincoat and/or umbrella is advised. The weather in September is generally pleasant, although some hot and humid days can occur. The average temperatures is approximately 18°C (68°F).
Insurance and liability
In registering for the EFCOVAL meeting you agree that neither the organizing committee nor the conference secretariat accept any liability whatsoever. Participants are requested to make their own arrangements in respect of health and travel insurance.
